Policies/Restrictions for Student-Run Conferences

Spending

  • Decorations and provisions must pass the reasonable person test (e.g., no ice sculptures, or other similarly extravagant purchases).
  • Flowers and/or centerpieces should be kept to a minimum.
  • All purchases must be submitted through the host club's CampusGroups Accounting Book.

Catering

  • SOM Hospitality has the right of refusal for all events held in Evans Hall. Organizers need to receive permission from SOM Events to work on receiving permission for using any outside caterer.
  • All major events must use SOM Catering unless stated otherwise.
  • SOM Events offers complete event planning services, including menu selection, staffing, rentals, special decorations, flowers, audio/visual equipment, and more, utilizing SOM Hospitality as its primary provider.

Alcohol

  • Alcohol may only be served to individuals 21+, by CT TIPS-certified bartenders (no students), using approved caterers.
  • Only beer, white wine, and hard seltzer are permitted (no hard liquor, red wine, or dark berry beverages)
  • Food and non-alcoholic beverages are required, alcohol must be controlled (max two drinks per person), and no privately obtained alcohol or removal of alcohol from Evans Hall is allowed.
  • Additional security or requirements may apply based on event size.

Gifts

  • Small tokens of appreciation (under $100, including tax and shipping) can be given to speakers/distinguished guests.
  • Branded gear (fleeces, sweatshirts, portfolios, mugs, etc.), available at the mailroom, provides an efficient option. Provide your COA for transfer; do not use a PCard.
  • SOM funds are not to be used to provide gifts to staff members or students, nor are they to be used, except in rare instances after following strict guidelines, to make payments to other 501(c)3 non-profit organizations.
