Room & Facility Setup

These should be submitted in CampusGroups when booking the space and creating the event request. They can also be put directly into EMS if you are in contact with the Events Team.

Setup Services

Yale Custodial Services must be used for any events at SOM or other Yale space. This includes:

  • Room setups
  • Table and chairs
  • Extra trash and recycling bins
  • Equipment, like easels or whiteboards

After-Hours Building Access

SOM buildings are open Monday through Friday from 7:30 a.m. to 5:00 p.m. when classes are in session. SOM students, faculty, and staff may gain access with their Yale IDs at other times.

For events involving non-SOM individual, a member of the hosting group must be preset to welcome guests to Evans Hall. Those who do not have a Yale affiliation are required to complete the vaccine attestation before they are permitted to attend SOM programming.

Parking

Event organizers should provide guidance to event participants regarding parking options prior to the event.

If you need to pay for parking for a guest speaker at Evans Hall garage, please email SOMEvents@yale.edu with the following information:

  • Date and Time of event
  • Number of parking spots needed
  • Club covering the charge and COA for the club's External Account (the cost of parking is $20/car)

Please note: C&F does not cover parking fees for guest speakers, so the funds for parking will have to come from the Club's External Account. If you need this COA, please contact SOM Clubs for the information.

Media Services

SOM IT supports student events on campus free of charge during business hours Clubs are responsible for fees charged by events outside of normal hours. You request these services in the CampusGroups "Event" tool.

Kick & Go Support

Technician at the beginning of your event to assist with microphone, video, and screen setup.

Audio Recording

Some Club events require only an audio recording, specifically when creating podcasts or sound bites.

Complex Video Conferencing

High-profile speaker connecting in to your event via Zoom or Skype? Media services can assist! (Only for in-person classroom events.)

Broadcast Studio

For major or specific recording for your Club events, you can also request to use the broadcast studio. Additional costs incl.

Movie Screening Rights

As part of the Office of General Counsel at Yale, screening rights are required to show films and live events. This includes streaming services (Hulu, Netflix, Amazon) and TV broadcasters (except for news channels currently offered in Student Lounge). Written permission from the film or show's producer must be provided to both AASL and SOM Events when completing the CampusGroups event request form. No room bookings will be confirmed until this approval is provided.

There are a variety of options for screening that do not require viewing rights:

  • Some Distribution companies will grant exceptions/waive fee for educational purposes (E.g. Spyglass Media Group & Swank Motion Pictures)
  • Some Netflix Originals have an exception for one-off events
  • Yale Film Study Center offers viewing with very limited rights on a majority of the films in their collection
