Our job is to make sure you succeed in hosting a conference or case competition, and represent not only Yale SOM well, but also your Club and individual efforts.


There's a lot of work that goes into organizing your event, so we provide a lot of support throughout!

So, who are we?

AASL | THE RESOURCE GURUS

AASL is your first line of defense on any questions you may have, or when you're not sure who to turn to.

We organize regular check-ins and debriefs. We also chair the SCC and provide overview to how the process works. Throughout your planning, AASL requires:

  • Regular check-ins
  • Updates on your Minimum Threshold Requirements (MTRs)
  • Debrief meeting post-event

DEVELOPMENT | SPONSORSHIPS

The Development team work with you on all things money. They help plan and review your sponsorship packages, work with you on ongoing reach-outs to companies, and help you with invoicing when companies confirm sponsorship. Do not approach companies until you have been approved! Throughout your planning, Development requires:

  • A list of your potential sponsors prior to outreach
  • A draft conference solitication letter going out to approved potential sponsors
  • A draft document with the proposed sponsorship levels
  • Updates on committed sponsor participation

ALUMNI RELATIONS | SPEAKERS

Alumni Relations work with you on reviewing your potential speakers and judges, help suggest people within the Alumni Network, and suggest new ideas when it comes to speakers and content. Throughout your planning, Alumni Relations requires:

  • A list of prospective speakers/judges/keynotes prior to outreach
  • A draft letter going out to approved potential speakers/judges/keynotes
  • Updates on committed speaker/judge/keynote participation

This team can also help market your event with the alumni network across the world.

EVENTS | LOGISTICS

The Events Team work with you on your room bookings, setup, catering, media services and other event needs. They offer great advice on how to make your event flow seamlessly, and help you think about considerations on the logistics that you may not have even thought about! Throughout your planning, the Events Team requires:

  • Confirmed use of intended space
  • Desired setups
  • Confirmed media services needs
  • Confirmed catering plans, along with vendor information
  • Walk-through meeting prior to the event
  • Submission of run-of-show document

BUSINESS OPERATIONS | PURCHASING

BusOps team are here to support you on all things purchasing and reimbursements. They help you through buying, but also on Prize Payout Processes, and making sure you keep a close eye on your budget. Throughout your planning, the BusOps team requires:

  • Contracts that must be signed from Yale instead of conference organizers
  • Invoices
  • Updates on revenue generated through sponsorships/ticket sales
  • Reimbursement/Purchase requests through CampusGroups

COMMUNICATIONS | MARKETING

Communications Team are the connectors. They know how to market your event, check that your branding looks amazing and work with you on press releases and getting the word out on your bid day! They can also help you with potential speakers or people to consider (they are really well-connected!) Throughout your planning, Communications requires:

  • Submission of potential logos (if applicable)
  • Branding for any printed materials/swag items
  • Use of official SOM social media outlets
  • Use of digital signage throughout Evans Hall
