Guest Speakers

All speakers, whether participating virtually or in-person, need to be vetted and approved through the Speaker Approval Form in CampusGroups.


Speaker Approval

Speaker approval must always be sought and confirmed before your reach out to your speaker

Unless they are current students, faculty, staff, or a paid workshop trainer/vendor, you must always obtain approval before confirming an event with the speaker.  CDO is a part of the approval process; when the speaker is an alumni, Alumni Relations must also approve.

Other Considerations

Parking

Guest speakers may request parking if they are coming to visit SOM. Please remember there is no free parking at the Evans Hall garage.

The garage is handled through central Yale Parking at a fee. If your speaker needs parking at SOM, it is important to secure them a spot in advance through the SOM Events Team by submitting a request and budgeting with your club's COA. More information on parking at SOM can be found here.

Honorarium, Travel, & Accommodation

Speakers cannot be paid; this is a Yale policy and strictly enforced.

Should your Club have external funds in your external COA, you may look at supporting your speaker by agreeing to fund part or all of their travel and/or accommodation. University policy requires that all travel/accommodations must be economy class; no reimbursement is permitted for first- or business-class travel, or luxury hotel accommodations.

Speaker Gifts

The Hub offers a number of SOM-branded items that make great speaker gifts.

Please do not spend more than $20 on a small gift for speakers. Clubs cannot spend huge amounts on gifts. Gift cards cannot be purchased at all.

Note: University policy does not permit the use of Yale funds for the purchase of gifts for Yale students, faculty or staff; if you wish to make such purchases you must use personal funds.
