Planning Events on Religious Holidays

In general, fasting or work restrictions as well as special worship obligations impact whether our community can participate in events that take place on their religious holy day(s). Please keep in mind that some holy days require additional time for preparation before the actual observance. It is important to keep this in mind and to avoid these dates when planning your upcoming event. Please refer to the events policy on religious holidays below for further guidance:

University Calendar

If the University is closed, no events are permitted in Evans Hall, regardless of the holiday.

High holidays and holy days

Student events at SOM follow the Chaplain’s office policy of not allowing major events (an event with significant impact on space usage, a high profile speaker, and/or an event over 150 people that would fall outside of the day-to-day club programming) on high holidays (holidays that have work restrictions or personal limitations).

To determine which dates are considered high holidays or holy days, look at the main calendar on CampusGroups. Any major religious holiday will be displayed on the top of the calendar with an asterisk next to the name.

All other holidays

Events can take place, though we caution event organizers of the holiday, and that some people might not be able to attend.

See what other Clubs are doing before you plan

It may be of interest to see what other Clubs are doing; there's a chance for collaboration and co-hosting.

Inviting a speaker?

You need to have the speaker approved before reaching out. To do so, create an event, and complete speaker's information in the Event Approval Form on CampusGroups.

Inviting an external organization?

You need to work with your CDO liaison before creating your event; additionally, approval from the Alumni Relations Office is required before reaching out to alumni.

Avoiding major dates, including:

  • Core classes & exam times
  • University holidays and recess days
  • Reunion weekends
  • Commencement

The last date to host events is always the last day of classes of that quarter.

  • The Quiet Room

    The Quiet Room at SOM (located on the basement level near the student lockers) has been refreshed and updated to better serve as a peaceful space for prayer, meditation, yoga, and grounding. This is a dedicated, non-work space available to all who seek a moment of calm, reflection, or spiritual observance amidst a busy day and does not need to be reserved in advance.

    We kindly ask all users to respect the room's purpose and maintain cleanliness and etiquette during use to ensure that it is a serene and welcoming space for everyone.

  • Interview Rooms

    Interview suites are reserved primarily for career-related interviews, employer meetings, and recruiting activities. They are to be used for professional purposes only (e.g., interviews, meetings, or quiet preparation).

    Reservations must be made through EMS on a first-come, first-served basis; that must accurately reflect the intended use.

  • Breakout Rooms

    Breakout rooms are reserved primarily for meetings and other independent study.

    Reservations must be made through EMS on a first-come, first-served basis; that must accurately reflect the intended use.

Off-Campus Space

To use off-Campus space, Yale owned or private New Haven Business will require you to plan ahead. You should give yourself a lead time of 2-3 months in most cases, booking venue space well in advance.

Reminder: Any contracts you receive for such venues needs to be signed by the Business Office, not the individual students.

For space at Payne Whitney Gym: Use the Facilities Request From to begin the reservation process for courts, gyms, and other recreational space.
